This Refund Policy explains when clients of The Learning Loop (“we”, “us”, “our”) are entitled to refunds for tutoring sessions, packages, or related services.
This policy aligns with UK consumer law, including the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013.
1. General Principles

We aim to provide high-quality tutoring and excellent customer service.

Refunds are issued only in accordance with this policy.

Refunds are processed to the original payment method unless otherwise agreed.
2. Booking Cancellations
2.1 Client-Initiated Cancellations
Single Sessions

Cancellations made more than 24 hours before the scheduled session:
→ Full refund or credit to your account. -
Cancellations made within 24 hours of the session:
→ No refund (the session is chargeable).
Late arrival or absence:

If the student arrives late or does not attend, the session is non-refundable.
3. Tutor-Initiated Cancellations
If a tutor cancels or is unable to deliver a session:

You may choose between:

✓ Credit added to your account
We prioritise rebooking at a time convenient for you.
4. Packages and Bundles
If you purchase a package of multiple sessions:

Unused sessions may be refunded within 14 days of purchase, provided no session in the package has been used.

After the 14-day cooling-off period, refunds are at our discretion unless legally required.
If some sessions have been used:

Refund = Amount paid – (Used sessions × Standard session price)
5. Monthly Memberships / Subscriptions (Include only if relevant)

You may cancel at any time.

No refunds are issued for partial months already billed.

Sessions included in the subscription expire at the end of each billing cycle unless otherwise stated.
6. Quality Concerns or Service Issues
If you believe the tutoring service was not delivered as agreed, please contact us within 48 hours of the session.
We may offer:

A complimentary replacement session

A partial refund

Credit toward future sessions
We handle quality concerns on a case-by-case basis.
7. Technical Issues (Online Tutoring)
If a session cannot proceed due to:

Platform failure

Tutor technical issues

Problems on our side
→ You will receive a rescheduled session or full refund.
If the student’s internet connection or device failure prevents the session from continuing:

The session may be charged (at our discretion).
8. Safeguarding or Behavioural Issues
We reserve the right to terminate a session early if:

A student behaves aggressively, inappropriately, or disruptively

Safety concerns arise
In these cases, no refund is provided unless legally required.
9. Incorrect or Duplicate Payments
If a payment is made in error (e.g., duplicate charge):

A full refund will be issued once the issue is verified.
10. Processing Refunds

Refunds are typically processed within 5–10 business days, depending on your bank or payment provider.

We may request basic information to verify your identity before issuing a refund.
